Studio Policy

Welcome to Vaultt Studios, where sound, vision, and creativity come to life. To keep things flowing smoothly and protect both your time and ours, please review the following studio policies. By booking with Vaultt, you agree to abide by these terms.

1. Booking Confirmation

  • Independent Creators: A 50% non-refundable deposit is required to lock in your booking. Without it, your slot is not guaranteed.

  • Industry / Label Clients: No deposit is required, but the session must be confirmed in writing by your A&R rep or admin team.

Important: You may only use the areas you’ve booked. No access is permitted to unused spaces or equipment.

2. Cancellation Policy

For Label Bookings:

  • 48+ hours notice: No penalty.

  • 24–48 hours notice: 50% of session fee is billed.

  • Less than 24 hours or no-show: Full session fee applies (4-hour minimum).

For Independent Creators:

  • 48+ hours notice: Full refund of your deposit.

  • 24–48 hours notice: 50% of your deposit refunded.

  • Less than 24 hours or no-show: Full deposit is forfeited.

3. No-Show Policy

No-call, no-show? You’ll be charged 100% of the scheduled session (minimum 4 hours). Our team still shows up, even if you don’t—so please respect our time and space.

4. Late Arrivals

Running late? Your session still ends at the originally scheduled time. Full session payment will be due, regardless of how late you arrive.

5. Session Length & Overtime

  • Minimum session: 4 hours.

  • Overtime: Charged in full-hour increments at the regular hourly rate. No partial-hour billing. If you go even 10 minutes over, an extra hour is added to your invoice.

6. Studio Etiquette

Treat Vaultt Studios like your creative sanctuary—with care and respect. Damaged equipment or property will be billed at full repair/replacement value. Leave it how you found it, or better.

7. Payment Terms

  • Due at session start unless alternative arrangements have been confirmed.

  • Accepted methods: ACH wire, Zelle, and cash.

8. Engineer or Photographer Requests

Requesting a Vaultt team member (engineer, photographer, videographer)? Their time is valuable—their rate is still owed if the session is cancelled, unless 48+ hours notice is provided.

9. Session Files & Media Delivery

  • Files will only be released once payment is complete.

  • Bring an external hard drive or SSD for transfers. We recommend backing up your files immediately.

  • Vaultt Studios retains files for 14 days only. After that, we’re not responsible for storage or recovery.

10. Rescheduling Policy

Need to shift your date? No problem, just let us know:

  • More than 48 hours ahead: We’ll reschedule at no cost.

  • Within 24 hours: Treated as a cancellation and subject to the cancellation policy above.

11. Late Payments – Label Clients Only

  • Net 30 Terms: Payment is due within 30 days of your invoice date.

  • Late Fees: A 10% fee is added for every week overdue (e.g., 2 weeks = 20%).

  • Got delays? Communicate with us—we're cool, but we need transparency.
